Privacy Policy
PropsTrack helps film and TV crews track props, warehouses and returns. This policy explains what information the app handles and how.
What We Collect
When you create an account we store your email address and full name. While you use the app we store the content you create: photos of props, project names, warehouse details and contacts, pull-list items, notes, actors and sets, and the status of each prop. If you add a profile photo, we store it too. To send notifications we store a push token for your device.
How We Use Your Data
We use your data only to provide the PropsTrack service to you and your team. We do not sell or rent your data and we do not use it for advertising.
Usage statistics. From version 1.0.28 the app records which features are used (for example "returned a prop" or "opened Archive"), together with the app version, platform and crash details, linked to your account. We use this only to fix problems and improve the app; it never includes your photos. If you would rather it was not collected for your account, email us at propstrack@icloud.com and we will switch it off.
AI Prop Naming Optional
To save time, PropsTrack can suggest a short name for a prop from its photo (for example "Black laptop"). The app asks for your permission first, and you can turn it off any time in Profile → AI prop names. When it is on, the photo is sent securely to our AI provider, Anthropic, which returns the suggested name. Photos are used only to generate the name. Under Anthropic's commercial terms, data sent through its API is not used to train its models. The name is saved to your prop and you can change it at any time.
Data Storage and Security
Your data is stored with our hosting provider Supabase, protected by access rules so that project data is available only to members of that project. All traffic between the app and our servers is encrypted (HTTPS).
Camera and Photo Library
The app asks for camera and photo library access so you can photograph props. Photos are visible only to members of the same project.
Project Collaboration
When you join a project with an invite code, other members of that project can see your name and the props you log. Project admins can manage members and roles.
Service Providers
We use a small number of providers to run the app: Supabase (database, file storage and sign-in), Anthropic (AI prop naming) and Expo (push notifications). They process data only on our behalf to provide these functions.
Data Retention and Deletion
Project admins can delete props, warehouses and whole projects in the app; this also deletes the related photos. You can delete your account at any time in the app under Profile → Delete my account. You can also email us to request deletion, and we will remove your data within 30 days.
Children's Privacy
PropsTrack is a professional tool and is not intended for children under 13. We do not knowingly collect data from children.
Changes to This Policy
If we make significant changes, we will update this page and let you know in the app.
